A Day in the Life of a Whistler Adaptive Sports Program Coordinator

Whistler Adaptive is currently recruiting for a Program Coordinator, and we want to give you a real sense of what this role is all about.

As a Program Coordinator, you’re the one who helps bring our programs to life, supporting participants and volunteers, keeping logistics running smoothly, and making sure every session feels welcoming and inclusive. Here’s what a typical day in this role might look like, however every day is a little different that’s for sure!

9:00 AM — Morning Kickoff & Team Sync

Your day begins by reviewing your calendar, emails, and messages from participants, families, volunteers, and colleagues. You sync up briefly with the Program Manager and Head Coach to confirm seasonal program details, from winter alpine scheduling to summer camps, ensuring everything’s set for participants across Whistler, Squamish, and Pemberton.

10:00 AM — Planning, Assigning & Preparing

You dive into program logistics. Whether it’s allocating participants into groups or assigning volunteers and staff, your role is to coordinate smoothly and effectively. You also check in on equipment readiness, facility bookings, and volunteer onboarding to keep operations seamless.

11:00 AM — On-Site Presence & Quick Delivery Support

If you’re onsite, for example, overseeing the weekend alpine community program in Whistler, you’ll be welcoming participants and volunteers, lending a helping hand wherever needed, and ensuring everyone has a great experience. Your goal? High-quality engagement, safety, and above all, fun.

12:30 PM — Community Connection Over Lunch

Lunch is as much about nourishment as it is about connection. Whether it’s chatting with a new participant or touching base with a volunteer, this time builds relationships that support trust, belonging, and comfort within the program.

1:30 PM — Data, Feedback & Fundraising Support

Back at your desk (or working remotely), you’ll input attendance and participant feedback, pull numbers for reporting, and help update our database. You also provide support to the fundraising team, helping to coordinate events, gather stories, and assist with development initiatives.

3:00 PM — Facility & Equipment Check-Ins

You monitor inventory and the condition of adaptive equipment, coordinate any necessary maintenance, and touch base with facility partners to confirm everything is set for upcoming sessions.

4:00 PM — Volunteer Training & Development

Volunteer coordination is a meaningful part of your role. You assist in recruiting, onboarding and training new volunteers, ensuring they’re prepared, confident, and connected to the team. This includes everything from intake to screening to ongoing support.

4:30 PM — Daily Debrief & Prep

Wrapping up your day, you finalize admin tasks, reviewing volunteer and athlete data, updating documents, checking in on registrations, and coordinating next steps with the Program Manager or Head Coach.

5.00 PM Signing Off with Satisfaction

As your workday winds down, you reflect on the impact you’ve made: inclusive outdoor experiences, smiling faces, smoother operations, and meaningful community connections. It’s all in a day’s work, but it’s also so much more.

Remuneration: $48,500–$50,000/year (dependent on experience)
Requirements: Canadian residency or a valid 2-year work permit, clean vulnerable sector check, First Aid certification, driver’s license, and ideally, familiarity or passion for adaptive sport.
